(Post-Defense) Thesis Upload, Printing, and Graduation Procedures

  1. Thesis Revision After Defense: Please revise the thesis based on the suggestions provided by the oral defense committee.
  2. Advisor Confirmation: After revisions, the finalized thesis must be reviewed and confirmed by the advisor. The advisor must sign two copies of the "Thesis Approval Form." Please send these forms to the program office for the program director’s signature, and then return one copy.
  3. Thesis Review:Following university regulations, upload the final version of the thesis to the single portal - the library thesis upload system((see the June 5, 2024, thesis system training video and presentation for more details).,The program office will review the thesis format, the advisor will conduct a second review, and then the thesis will be archived by the library. Please refer to the attachments for detailed information. Key points are as follows:
    • Turnitin Similarity Check:Upload the full thesis text.
    • Academic Ethics and Originality Check Statement:Enter the similarity check results.
    • Thesis Publication Confirmation:
      • If the thesis is compiled from papers previously published in conferences or journals, select the first option: "In compliance with the university’s Master's and Doctoral Thesis Format Guidelines," and upload the "Thesis Compilation Information and Contribution Declaration from Co-authors."
      • Otherwise, select the second option: "My thesis does not adopt the compilation format."
    • Thesis Authorization:
      • Electronic Thesis:Discuss with your advisor whether to make the thesis publicly available immediately.
      • Printed Thesis:The thesis must generally be made available publicly. If there is a need to delay public access, an application must be submitted.
  4. Printing and BindingPlease wait until you receive the approval notification from the library’s thesis system before proceeding with printing!
    • At least three single-sided printed copies of the thesis must be produced (one for the program office, one for the library, and one for the Registration Office).
    • The cover should be light yellow.
    • The cover and title page should indicate the defense date as the thesis submission date.
    • The spine year should follow the academic year, not the publication year.
    • The watermark should use a black university logo in a light shade.

  5. Initiating the Graduation and Departure Process:After receiving the notification email that the thesis has been approved, you can start the process from the "Graduation and Departure Application System" the following day.
    • Upon submitting the degree exam results, students must complete the departure process (including submitting the printed thesis) by the last working day before the start of the next semester. The deadline for completing the graduation and departure process for the first semester of the 113th academic year is February 14, 2025, as announced in the academic calendar.
    • If the departure process is not completed within the above-mentioned deadline:
      • Students who have not reached the maximum study duration must re-register in the next semester and apply for a refund according to the university’s "Student Departure Refund Guidelines."
      • Students who have reached the maximum study duration will be treated as having withdrawn from the program.
    • Advisor:Please complete the laboratory handover tasks required by the advisor and remind the advisor to sign the departure approval in the system (recent graduates reported that the system does not send notification emails to the advisor).
    • program office:Students must submit one printed copy of the thesis and complete two exit surveys. After filling them out, notify the program assistant by email for assistance with the department's approval process.
    • Library (Second Floor Service Desk):Submit one printed copy of the thesis and the database vendor authorization form, and confirm there are no outstanding books or overdue fines in the university library system.
    • Career Development Group (3rd Floor, Information Technology Service Center):Fill out the online career development form, receive the graduation souvenir, and pick up the degree certificate set.
    • Registration Office (1st Floor, Science Building 1):Bring your student ID and one printed copy of your thesis to the Registration Office to sign for your Chinese and English degree certificates. After completing the procedure, your student ID will no longer be valid for transportation discounts, and it will be stamped with a "Graduated" mark and converted into an alumni card (details can be found in the Registration Office: Degree Certificate Pickup Process).
